Accounts Payable Specialist (Part-time)

We are offering an exciting opportunity for a responsible an Accounts Payable Specialist to support our CEO and Finance Department. This position is a part-time and teleworking position working from 20 -25 hours a week in the morning, afternoon, and/or evening and up to 5 days a week Monday through Friday

 The successful candidate will be responsible for the payment of goods and services purchased by the organization. This role also serves as an auditor, ensuring that invoices are accurate and that proper accounting procedures are followed for the purchasing and payment of goods and services. The ideal Accounts Payable Specialist will assist with all things AP with some ad hoc and finance projects as needed.

Essential Duties and Responsibilities:

  • Review and prepare all invoices and check requests for payment for final approval
  • Process check requests and invoices in a timely and accurate manner with an electronic workflow
  • Prioritize invoices according to cash discount potential and payment terms
  • Process semi-monthly disbursements for ACH, checks and wires to contractors and vendors
  • Respond to all vendor inquiries in a professional manner
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
  • Assist in month end closing and create account reconciliations for all affiliate intercompany accounts
  • Maintain Vendor and Independent Contractor Master File
  • Maintain a healthy vendors’ aging
  • Manage 1099 process annually. Maintain records of W-9 Forms received
  • Assist in developing appropriate policies andcontrols for entire payables process and work in concert with 3-party bookkeeping vendor.

 Required Skills/Knowledge

  • 5+ years of relevant experience fully owning an Accounts Payable function
  • 3+ years of experience administering Expensify, Concur or a similar hosted expense reimbursement solution
  • Good understanding of basic accounting (e.g. accruals, fixed assets, prepaids)
  • Quickbooks experience strongly preferred
  • Detail oriented and well organized
  • Excellent written and communication skills
  • Proficient in Excel
  • Able to work independently in a fast-paced environment with minimal supervision, including proactively managing relevant AP systems and driving process/system implementations and enhancements’

  • Excel at prospecting and aggressively seeking new clientele by networking, cold calling, canvassing, referrals or other means to build and maintain a full pipeline of sales prospects
  • Follow all station and corporate procedures for preparing orders, resolving billing issues, submitting regular reports regarding sales, pipeline lists, forecasts and competitive analysis
  • Stay abreast of the competitive landscape and emerging technologies to best position JAM Media in the marketplace
  • Think creatively and generate original ideas
